Access for set up early morning is available from 08:00 at no additional cost for full day and morning only bookings. Access for set-up evening prior is available for full day or morning only bookings at a charge of £75+Vat. Evening prior arrival is available from 18:30. For afternoon only bookings no access is available prior to 14:00.
Provided for your use in the PBC at no additional charge:
1 One 30" fixed HD Ready LCD screen suspended from the ceiling
2 Digital and satellite TV stations available
3 One CD player
4 One combination VCR/DVD player
Your laptop/ mp3 player/ video camera etc can be connected to the screen/ PA system via a wall socket - you will need to provide your own connection cables as these are not supplied
We do not allow any posters or advertising to be posted around the building, we request any promotional material being used is kept within the PBC itself. Under no circumstances can any promotional material be attached to the walls of the PBC. There is a rail suspended from the ceiling around the edge of the room which has moveable hanging pincer clips on it, room dressing or branding can be hung/ attached from here.
Any fabrics used for dressing the room at your event will need to be fire-retardant and conform to British Safety Standards.
No naked flame or balloons allowed in the building (NB: candles cannot be lit).
Notification must be given in writing and where cancellation is within ten working days of the date of hire, a cancellation fee equivalent to 50% of the total hire fee will be charged in addition to the deposit.
Generally briefings held here are of an informal drop-in nature however approximate capacities for this space are as follows: Banquet style 40 pax, theatre style 40 pax & standing reception 70 pax. This is for a size approximation only and supplied furniture is only as specified in the furniture section.
Filtered water and tea/coffee making facilities are available in the demo kitchen for your staff however should you wish to cater for your guests we can provide in-house catering for which there is an additional charge and a minimum of 48 hours notice is required. You are also very welcome to bring in your own catering or caterers to cater for your guests. Click here to download an order form/ price list.
A non-refundable deposit of £200+VAT is required at the time of confirmation of the booking.
An invoice for the remainder of the account will be sent to you following your event. Please specify on confirmation of booking if you wish your invoice to go to a different address. IPC Media operates terms of 'net monthly'.
Each Wednesday at 10:30am a fire alarm test lasting approximately five minutes is carried out as a security procedure. There is no need for concern at these times. IPC Media would like to apologise for any inconvenience caused.
6 white rectangular (1200mm x 800mm) and 2 semi-circular Howe Tempest tables (1200m x 600mm). These are white with chrome legs. 15 stackable white Fritz Hansen Series 7 chairs, which have chrome legs. This furniture will be in the PBC for your use at the start of your booking period. If however, you do not require use of the furniture it can be removed. A minimum of 48 hours notice is required for any removals or reinstatements to be arranged.
Half Day booking (09:30-13:00 or 14:00-17:30) = £850.00+VAT
Full Day booking (09:30-17:30) = £1150.00+VAT

Wireless broadband internet access is available within the PBC and kitchen area at no additional charge. Should you require this service please request log-in details from your PBC contact on the day of your event.
Invitations to press briefings at the IPC Media Press Briefing Centre should be targeted at journalists employed by IPC Media and Time Magazines Europe, or to freelancers currently working for those two organisations. However, as of 12.08.10, you may also extend your invitations to include non-IPC journalists. Please check with your PBC contact if you have any questions.

Should you wish to bring in further cookery equipment for use at your event a full technical specification of all items will need to be supplied to your PBC contact for agreement in advance of your booking. All items must conform to current Health and Safety Standards. The use of a toaster in the PBC or the kitchen is prohibited. No cookery equipment (eg: Pots and pans) is supplied or available to hire therefore you will need to bring your own should you wish to cook at your event.
No gas or naked flame allowed in any area of the IPC building (with the exception of the IPC installed gas hobs)
All goods for your event will need to be delivered to the PBC on the 10th floor and only via the loading bay on Zoar Street. click here to download a map of the loading bay location. The loading bay will accommodate a truck of 7.5 Tonnes. Under no circumstances can any goods be taken through reception with the exception of personal items only. A loading bay delivery time must be requested via your PBC contact when you complete your booking checklist. These time slots are allocated on a first come first served basis therefore it is advisable to submit your loading bay time request as soon as possible after confirming your room hire. Please ensure that you have sufficient labour to bring materials into and out of the building as IPC does not have porters and cannot supply assistance. IPC cannot accept any deliveries on behalf of the client and no deliveries can be made to the PBC prior to previously agreed access times. A trolley/ cage can be provided to transport your items between the loading bay and the 10th floor PBC. Please take care when using trolleys for transporting your goods, as any damages caused will be chargeable. The goods lifts measure 2.2m high x 1.3m wide x 2.9m deep and carry a weight of up to 2 tonnes. A trolley/ cage is available for your use should you require it.

There is a movable acoustic wall separating the PBC and the kitchen. When folded back the space opens up to be used as a full demonstration kitchen. 48 hours notice is required should you wish to have this opened for your event.
Provisional Bookings will be held for up to seven days but must be confirmed a minimum of five weeks prior to the event date. No more than two provisional bookings can be held at any one time. A non-refundable deposit of £200+VAT is required on receipt of which your booking will be confirmed. All events to be held in the PBC must provide a risk assessment to your PBC contact a minimum of 48 hours prior to the start of your event. Once you have a confirmed booking please complete the IPC Media risk assessment 2007 template and return to your PBC contact.
For full day and afternoon bookings - All items must be cleared within one hour of the close of the booking period.
For morning only bookings – All items must be cleared by 13:30.
Please leave both areas clean and tidy with any rubbish bagged up and separated into 'food waste' and 'recyclable waste'. (Rubbish sacks will be provided). Please note that any damages caused during the period of use will be chargeable.
The room measures 5850mm x 7850mm with a ceiling height of 2750mm. The doorway to the PBC is 2100mm high by 1000mm wide. The walls are white in colour with a light oak wood effect "Amtico" floor covering. There is a rail fitted at ceiling height which promotional material, draping etc can be hung from and some moveable grip hooks are supplied. Please do not attach anything directly to the walls as this will damage the paintwork. Blackout blinds will be available at a later date. Visitors to IPC will be able to gain entry ONLY if the full names of all persons requiring entry are submitted to your PBC contact at least 48 hours prior to arrival. On arrival please go to the main ground floor reception. Security will have passes ready for all previously named persons. These passes will gain you access only to the 10th floor (including lifts & toilets). Security will also provide keys to the PBC & Kitchen areas. Once you have initially gained access and are wearing a visitors' pass you are entitled to leave and re-enter the building through the reception area.
There is a look up facility available on the PBC phone should you wish to contact internal journalists during your event however you will need to know their surnames to make use of this facility. This phone is wall mounted and situated within the kitchen area of the PBC.
